Job Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to both the Commercial Workshop Manager and Fleet Team. Responsibilities include document preparation, managing correspondence, maintaining records, and updating fleet information.
  • Parts Coordination: Assist in managing parts inventory, liaise with suppliers, and handle orders to support workshop and fleet operations.
  • Compliance & Documentation: Ensure all vehicles meet industry compliance levels, manage purchase orders, sales invoices, and delivery notes.
  • Software Management: Utilize bespoke motor industry software for various administrative and operational tasks, ensuring data accuracy and efficiency.
  • Information Management: Collate information requested for management purposes, update fleet data, and maintain effective record-keeping.
  • Communication: Serve as a point of contact for internal and external stakeholders, handling telephone inquiries professionally and ensuring clear and professional communication.
  • Proactive Engagement: Take initiative in daily tasks, anticipate needs, and execute responsibilities with minimal direction, embodying a "go-getter" attitude.
  • Relationship Building: Develop and maintain effective working relationships with internal teams and external partners.

Key Requirements:

  • Experience: Previous experience in a parts or commercial workshop environment within the motor industry, and experience in fleet management or a related field.
  • Computer Literacy: Full proficiency in standard office software and the ability to adapt to specialized motor industry software.
  • Education: High school education or equivalent; further education or certifications related to the automotive industry will be advantageous.
